Tides is currently seeking a full-time Client Services Administrator to provide support for key client services functions, primarily the processing and acknowledgement of donations, providing customer service to donors, and receipt and donation report generation. This position is an integral member of the Client Services team and will also work closely with accounting and IT staff to input and maintain accurate client data and provide seamless, professional and timely client support. The ideal candidate will be extremely detail oriented, have the ability to contribute and work well in a team environment and demonstrate a strong commitment to providing excellent service to internal and external clients.

Responsibilities

  • Receive and process incoming donations and pledges including capturing donor and donation information (cash or cheques, securities, annual or multi-year pledges, etc), into Navision database;
  • Database management - create new constituent records and ensure records are accurate and current;
  • Import donation and transaction information from online gift provider (GiftTool);
  • Process honour and memorial gifts and generate acknowledgement cards;  
  • Generate tax receipts and acknowledgement letters based on a specific stewardship program;
  • Generate monthly, quarterly and annual reports for internal and external review;
  • Create, manage and maintain physical client services files, as necessary;
  • Assist clients and process financial transactions via email/phone;
  • Work with client services team, accounting and IT staff to provide accurate and timely donation information;
  • Work with the client services team to ensure client services policies and procedures are current, and
  • Assist with other client services special projects as needed / required.

Qualifications

  • Desire to provide exceptional, solution oriented client service;
  • Excellent interpersonal skills with the ability to foster strong relationships with internal/ external clients;
  • Bachelor's degree or an equivalent combination of related education, training, and work experience;
  • Demonstrated accuracy, strong attention to detail and ability to follow through on repetitive processes;
  • Strong computer skills with proficiency in data entry and database management, Microsoft Office applications (familiarity with Navision, FIMS or Raiser’s Edge an asset);
  • Ability to work independently and collaboratively;
  • Strong organizational skills, ability to manage competing priorities in a fast-paced environment;
  • Ability to maintain complete confidentiality and communicate with professionalism and discretion;
  • Demonstrated flexibility and initiative;
  • Strong written and verbal communication skills, and
  • Basic understanding of the not-for-profit environment and the charitable sector an asset.
Salary Range: Commensurate with qualifications and experience
