Tides is currently seeking a full-time Executive Assistant to provide senior level administrative support and be a valued resource to the CEO and the senior management team. The ideal candidate will be flexible, have the ability to multi-task with minimal supervision and work well in a team environment. This position requires a person with a positive attitude, sound judgement and great sense of humour, with a commitment to professionalism and excellence.

Responsibilities

  • Serves as the initial contact for all matters pertaining to the CEO, including calendar management, coordinating meetings, travel arrangements and responding to enquiries
  • Provides administrative support to the CFO and Director of Philanthropic Services
  • Provides administrative support for the senior management team, including preparing meeting agendas and following up on action items as required
  • Assists with the organization of Board and committee meetings and the development and maintenance of board documentation 
  • Prepares, edits, proofreads and distributes correspondence and information for meetings and presentations as required
  • Conducts internet and other research on programs or issues
  • Provides day-to-day supervision of Receptionist/Administrative Assistant
  • Assists with special projects as requested 
  • Organizes and maintains paper and electronic files and tracking/bring forward systems
  • Other related duties as required.

Qualifications

  • University degree or equivalent
  • 5 years experience in a senior executive support position including supervisory skills  
  • Strong computer skills with advanced proficiency in Microsoft Office applications, Word, Excel and PowerPoint
  • Strong oral and written communications skills, demonstrating accuracy and professionalism
  • Strong organizational skills, ability to manage competing priorities in a dynamic fast-paced environment, and strong attention to detail
  • Excellent interpersonal and client services skills
  • Ability to work collaboratively in a team and independently
  • Demonstrated flexibility, initiative and the ability to maintain confidentiality
Salary Range: Commensurate with qualifications and experience
