Office Administrator for Growing Social Commerce Start-Up (Full-Time Position)

Who you are You support our daily operations. You have at least a couple of years of office administration experience in a start-up or small business environment – you’re used to wearing many hats and no job is too big or too small. You’ll have your hands in everything from customer service to bookkeeping to general office admin. You’re eager to contribute and grow with us. You pride yourself on your attention to detail, are extremely organized yet flexible to change, and have excellent interpersonal and communication skills. You’re a hands on problem solver, with a strong level of initiative and ability to work with minimal supervision. You should know your way around Microsoft office, especially excel. We also use Google Apps, Paypal, Dropbox, Zoho CRM and Zoho Invoice. Extra points if you know Quickbooks! You report directly to the CEO and work from our downtown Vancouver headquarters. A laptop and cell phone are required for work use. Specifically you’ll be responsible for:

Accounting Admin

  • Track/log/categorize expenses and manage receipts
  • Basic bookkeeping, processing accounts receivable and payable
  • Deposit cheques and manage petty cash

Customer Service

  • Receive/re-direct incoming calls and emails
  • Resolve customer support issues like refund requests
  • Publish deals through our content management system
  • Liaise with production, development and sales to ensure a good customer experience
  • Suggest business/website improvements based on customer feedback

Office Admin

  • Liaise with all vendors (phone, office/marketing supplies, CRM)
  • Post jobs, schedule interviews, set up new hires (payroll info, office software, phones etc.)
  • Track employee time off, sick days etc. and organize special events
  • Coordinate meetings, travel and accommodation
  • Record meeting minutes, open mail, manage filing, data entry
  • Prepare document templates, reports, spreadsheets
  • Other administrative tasks or special projects as required
